How to Manage Email Accounts in cPanel: Create, Quota, Password, Devices and Forwarders

Managing email accounts in cPanel is essential for businesses and individuals using custom domain emails. Learn how to manage and create email accounts easily with these step-by-step video tutorials.

Short answer: In cPanel, open Email > Email Accounts. Click + Create to add an address, or Manage next to an existing one to change its password, storage quota or restrictions. Check Email opens webmail, and Connect Devices shows the settings for Outlook, Apple Mail, Thunderbird and phones. Forwarders, autoresponders and filters are in the same Email section.

These older videos show the same tasks, although the screens have changed since 2019:

Create an email account

  1. Open Email > Email Accounts and click + Create.
  2. Choose the domain if you have more than one, and enter the user name, for example sales.
  3. Set a strong password, or send the user a link to set their own.
  4. Set the storage space: a fixed quota, or unlimited within your plan’s disk space.
  5. Click Create.

Manage an existing account

Click Manage next to the address. From there you can:

Setting Use it to
Security: new password Reset a forgotten or leaked password
Storage: allocated space Raise or lower the mailbox quota
Restrictions: receiving Stop new mail arriving, for example for an account being closed
Restrictions: sending Stop outgoing mail, for example if the account was hacked
Restrictions: logging in Block logins while keeping the mailbox
Delete Email Account Remove the account and its messages permanently

If an account sends spam, suspend sending first, change the password, and only then turn sending back on.

Read mail in the browser

Click Check Email next to an account, or go to https://yourdomain.com/webmail and log in with the full email address and password. Roundcube is the webmail program on current cPanel servers.

Set up phones and mail programs

Click Connect Devices next to the account. cPanel shows the incoming and outgoing server names and ports, and offers automatic setup files for Apple devices and Thunderbird. Use the secure settings:

Setting Value
Incoming (IMAP) Port 993, SSL/TLS
Incoming (POP3) Port 995, SSL/TLS
Outgoing (SMTP) Port 465 (SSL/TLS) or 587 (STARTTLS), with authentication
User name The full email address

Prefer IMAP if you read mail on several devices, so they stay in sync.

Forwarders, default address and autoresponders

  • Forwarders: in Email > Forwarders, send copies of an address’s mail to another address.
  • Default Address: decides what happens to mail for addresses that do not exist. Rejecting it is best; catching everything attracts spam.
  • Autoresponders: in Email > Autoresponders, send automatic replies, for example during holidays.
  • Filters: sort or block mail automatically. See our email filters guide.

Move mail from another provider

To bring old messages across, add both the old account and the new one to a mail program such as Thunderbird using IMAP, then drag the folders from the old account to the new one. For many mailboxes, ask support about an IMAP migration, which copies mail server to server.

Keep mailboxes healthy

  • ✓ Watch mailbox sizes on the Email Accounts page; large mailboxes use your plan’s disk space.
  • ✓ Delete accounts for people who have left, after exporting any mail you need.
  • ✓ Use strong, unique passwords and change them if a device is lost.
  • ✓ Make sure SPF and DKIM are correct so your mail is delivered. See our email deliverability guide.
